1. ApeosWare Management Suite Overview

ApeosWare Management Suite is a software which manages multifunction devices and printers on the network as well as users of these devices, and integrates authentication, output, log collection, document delivery. The following are the 3 types of ApeosWare Management Suite Editions.
- Entry Edition
 Minimum configuration comprising the basic features.
- Entry Edition for Small Business (For Non-Japanese market)
 Minimum configuration comprising the basic features. The number of registered devices is limited up to 5.
- Enterprise Edition
 Entry Edition with additional features.

For the available features and options of the Entry Edition and Enterprise Edition, refer to "1.2 Provided Features and Options" of the manual. The main features of ApeosWare Management Suite are described below.

4. Required Operating Environment

The operating environments of the server for installing ApeosWare Management Suite, and the various types of clients are as follows.

The operations of features other than "Device Management", "User Management", "Job Log Management", "Accounting Report Creation", "Document Delivery by Flow", "Server Monitoring" are not guaranteed.


- Installation cannot be performed in the OS where domain controller is running.
- Installation cannot be performed in the OS which supports Itanium processors.
- If you want to create a PC in a virtual environment, assign the same resources as "Hardware". Even if you assign the same resources as "Hardware", you may see performance degradation depending on the operating circumstances of the host PC.

Operates on TCP/IP protocol. The requirements are as follows.
- IPv4 or IPv6 Static Address
ApeosWare Management Suite may not operate properly if a dynamic IP address is set, such as with DHCP.
- DNS

Configuration of up to 2 network cards is supported. For details, refer to "Required Environment" of the manual.

4-5. Support for Virtual Environment

The supported virtual environment for ApeosWare Management Suite 2 is based on Fuji Xerox's server virtualization product support policy.

The operation and performance of ApeosWare Management Suite 2 may be largely affected by the processor cache of the server PC and the usage amount of the overall memory. The scalability and performance in a virtual environment is not guaranteed as ApeosWare Management Suite 2 is unable to forecast the extent of availability of resources in a virtual environment.

When installing a virtual environment for a hardware, allocate resources (4 or more CPU physical core, memory, HDD) equivalent to the specifications of an operation-guaranteed hardware in the virtual hardware, such that ApeosWare Management Suite 2 is available for use. When insufficient resources are allocated, the following problems may occur.

6. Notes and Restrictions

The notes and restrictions common to ApeosWare Management Suite are as follows.

6-1. Notes on Installation

6-1-1. Notes on Reinstallation

When reinstalling ApeosWare Management Suite after uninstallation, do it in the same folder as the last time. Installation cannot be performed in a different folder.

6-1-2. Notes on Installation of Popup Messenger

When installing Popup Messenger in Windows PC where firewall is enabled, add the following exceptions before installation.
- Outbound
- Destination Port Number: 8181
- Specify [TCP]
(Management Number: 57735)

6-1-4. Notes on Installation in Co-existence with Anti-virus software

When installing ApeosWare Management Suite in an environment in which anti-virus software is used, stop the anti-virus software feature before installation.
Also, set exclusion of the virus scan after installation.
The installation and setting procedures are as follows.

1. Stop the anti-virus software.
2. Install ApeosWare Management Suite.
3. Restart anti-virus software.
4. Set the following folder for exclusion of the virus scan.
  The path is an example of installation with default settings.
  (x86) is omitted in the folder name for 32-bit version of OS.

6-1-6. Notes on Uninstallation of SQL Server

If you have uninstalled SQL Server 2012 SP2, and after restart, install ApeosWare Management Suite.

6-1-11. Notes When Installing to English OS Which Supports Multilingual User Interface Language Packs

When installing ApeosWare Management Suite to an English OS which supports Multilingual User Interface Language Packs, install the supported language pack and when prompted to select a language, select its corresponding language during the installation of ApeosWare Management Suite.
The main steps are as follows.
Log in as a user with administrator permissions.
Install the corresponding language pack from the Multilingual User Interface Language Packs.
Configure the system locale and display language of the operating system.

(1) On Control Panel > Regional and Language Options, open the Keyboards and Languages tab, and select the corresponding language in [Choose a Display language].
(2) On Control Panel > Regional and Language Options, open the Administrative tab, and select the corresponding language in [Language for non-Unicode programs].
(3) Click the [Apply] button and restart the PC.

Select the corresponding language when prompted to select a language during installation, and do this for each software's installation.
For details on the installation procedure, refer to the manual bundled with ApeosWare Management Suite.
This procedure is necessary for all PCs when installing the relevant software, regardless of whether it is in the all-in-one configuration or distributed configuration.

  4. Open the [Advanced] tab of the listed certificates, and check if there is a certificate where the [Subject] is CN={IP address or host name of installed PC}.

6-3-1. Notes on Displaying Device Menu with Device Control Panel Settings

Depending on the model and use of other custom services of your device, the selected custom service may not be displayed on the control panel although it is successfully updated to the device.
In such cases, log in as Administrator and set the following on the Device Control Panel. 
- Select [Tools] > [System Settings] > [Common Service Settings] > [Screen/Button Settings], and assign the target custom service at [Services Home] on the Control Panel Screen Display.
For models that do not have [Services Home], scroll to the bottom of Home to find [Customize] and change the assigned screen display.

6-3-4. Notes on Registering User Information in Local Authentication

To update the user information, which was newly created or imported using the User Management feature, to the device in which "Local Authentication/Local Accounting", or "Local Authentication/Network Accounting" is set, please enter the user information within the range prescribed by the device.

The range prescribed by the device is described in the example below.
[User ID] and [Card ID (PAN)] must be unique in the system.
Up to 32 single-byte characters can be entered for the User ID of the device
(For details, refer to the manual of your device.)

Also, if user information which cannot be registered in the device is entered, "Update Failed/Other Errors" may be displayed under [Update Status/Update Reason] as a result.
In such a case, in Properties of User Information, change so that there will be no conflict with the prohibition by the device, and try the update to the device again.

When a user or a service that accesses the device periodically has continuously failed to authenticate its administrator ID, authentication of the administrator ID at the device will be denied.
If you perform settings from ApeosWare Management Suite to the device under this status, the following will appear as the update result.

For example, when the fax feature is enabled, both [Fax] and [Internet Fax] found in its service will be set to [Locked (Show Icon)].
In addition, if 1 or more service is enabled for the device, the authentication/accounting feature will be detected as enabled.
In this situation, the settings on the device will not be changed even if the authentication/accounting feature is enabled in ApeosWare Management Suite.

When updating information to the device and the PC installed with ApeosWare Management Suite has insufficient memory or has a heavy burden due to increased CPU utilization, the device control panel may be unlocked and the device may restart.

When users, imported from Active Directory or LDAP server with User Import, are moved within the user groups managed by the User Import setting, they will return to the user group of the same Active Directory or LDAP server configuration before the move at the time when they are re-imported.

On the other hand, if they are moved outside of the user groups, the change of the Active Directory or LDAP server will not be updated even when they are re-imported.
Also, they will not return to the user group prior to the move when they are re-imported.

Check the logon name of the user for which import has failed from the notification E-mail sent during import or the log message.
In Active Directory, temporarily change the above user logon name to another name.
Open the [User Import List] page of User Management, select the applicable import, and click [Run Import].
In Active Directory, change the above user logon name back to the one before the change.

6-4-24. Notes When Adding or Editing Remote Domains of Active Directory With Multiple Domain Controllers

When there are domain controllers not working properly in the domain of Active Directory configured with multiple domain controllers, error may occur when connection is checked in the adding or editing of domains, or when adding or editing import.
In this situation, please follow the steps below.

  1. Display the command prompt window on the PC installed with User Management, then execute the following command.
    ping <Domain Name>
    Check that the result of this command execution is either the IP address of the domain controller or a "Request timed out" message.
  2. Next, execute the following command.
      ipconfig /flushdns
  3. Execute the command in Step 1 again.

If the result at step 3 shows a normal response instead of a "Request timed out" message, indicating that the domain controller is working properly, check the connection in User Management and add the import.
If "Request timed out" is displayed for the result at step 3, keep executing the command at step 2 until the response indicates that the domain controller is working properly.

For the device settings, if the timeout period for connection to ApeosWare Management Suite is set to less than 20 seconds, the initial authentication after the occurrence of the domain controller error will fail.

- When [Font Color] of TrustMarkingBasic (for Japan) settings is set to either [Magenta] or [Cyan] and a document with black & white pages is printed, output sheets/impressions may be counted as "Black & White" even when those black & white pages are printed as color pages. In the above case, prescan may not detect black & white pages as color pages.
Using TrustMarkingBasic (for Japan) and DocuCentre Color 160/240/320/400/500/500CP, or TrustMarkingBasic 1.0 (for Japan) and DocuPrint C3530 will cause these pages to be counted as black & white output.

- When a document with black & white pages is printed as a color form, output sheets/impressions may be counted as "Black & White" even when those black & white pages are printed as color pages. In the above case, the prescan may not detect the black & white pages as color pages.

- When a document with black & white pages is printed with [Font Color] not set to [Black] for Watermark/Secure Watermark at the print destination device, output sheets/impressions may be counted as "Black & White" even when those black & white pages are printed as color pages. In the above case, prescan may not detect the black & white pages as color pages.

The custom property of the document is not updated in Update Scan when DocuShare is linked.
When the required custom property without default value is added on DocuShare server, the value of the added custom property will not be set for the document which is already registered.
If you try to execute Update Scan for such a document, as the value of the custom property cannot be updated, the required property will not be set, and updating of the document fails.
When executing Update Scan for a document in which the required custom property value is not set, access DocuShare with the web browser, and execute after setting the property value.

The OCR result will be correctly recognized if you set the document upright with the Rotation setting or select [Auto Rotation].

It is necessary to deactivate the OCR feature license in the following cases.
- Replacement to another PC due to faults in ApeosWare Management Suite server and OCR server, etc.

Deactivate the license in ApeosWare Management Suite server with the following steps.
1. Open the Command Prompt window with Administrator permissions, execute the following command, and move to the sdm folder.

3. As a result, the following may be displayed. Check that {Host Name} is the host name of the PC for deactivation.

When using [Scan to E-mail] feature, the corresponding job will complete with error, and the E-mail will not be sent if a document exceeding the upper limit (5MB) for 1 document is created.
Also, if a document exceeding the upper limit (5MB) for 1 document is included in multiple documents output by such as Document Splitting, all E-mails related to the corresponding job will not be sent as the entire job will complete with error.*

*When outputting multiple documents in a single job such as by Document Splitting, attach them in a single E-mail without exceeding the upper limit (5MB), and for documents exceeding the upper limit (5MB), attach them in separate E-mails. Therefore, multiple E-mails may be sent for a single job.
When a job is completed with error, configure Document Splitting, and rescan so that it does not exceed the upper limit (5MB) or make use of Link to File Management Service feature, and notify the storage location by E-mail.

- When specifying text for the search target, "*" may be used as part of the text but the first word must be the same.
For example, when "sample*" is specified, "sample 1.pdf" will be included in the search results but when "samp*" is specified, "sample 1.pdf" will not be included in the search results.
- When you access Salesforce with the web browser from PC and perform search with the Search box, the results may differ.

If multiple users are accessing shared folders simultaneously when the Windows network is in a workgroup environment, it may take some time to display or users may not be able to access because of an access error.

Reports may take time to create when a large number of job logs are retained. Also, during report creation, it temporarily increases the load on the system and may affect other features, such as slowing down the authentication process. In particular, [Report by Device Service] and [Report by Device Service (Cost Management Report)] will take time to create. In such cases, set a shorter Job Log Retention Period under [System Settings] > [Job Log Settings] > [Job Log Retention Period]. Also, by setting a shorter [Period] in [Custom Settings] and reducing the number of target job logs, the load can be reduced and the report creation time can be shortened.

After activating the license with License Activator, the activated license information may not be correctly displayed when you display the ApeosWare Management Suite license from the web browser regardless if the activation process is completed successfully. Restart ApeosWare Management Suite Core Service if it is still not correctly displayed after 1 minute or more. Also, you can check the correct license information from the license status of the License Activator.

6-12-23. Notes on Popup Messenger

When the connection between the client PC and ApeosWare Management Suite server is disconnected, the following message will be displayed and Popup Messenger cannot be used.
"Unable to access the print server. Check the following.
 - Server power
 - Server network connection
 - Server and client time"
After checking you are connected to the ApeosWare Management Suite server, start Popup Messenger, and click the [Start] button, and you will be able to use Popup Messenger normally.
Note: Information related to print instructions issued during the period when connection to the ApeosWare Management Suite server is disconnected will not be notified even after the above operation. Check the print job status on the Print Job List page.

6-12-25. Notes and Restrictions When Main Server Host Name is Changed in Environment Where Report Server is Isolated

If the main server (the server where ApeosWare Management Suite is installed) host name is changed in the environment where report server is isolated, the Report feature may no longer work correctly. In this case, uninstall “ApeosWare Reports Server” in the report server, and install “ApeosWare Reports Server” again using the changed host name.

6-12-26. Notes When Changing Host Name in Host Name Setup

When host name is changed in an environment where server communication is encrypted (SSL), the server certificate must be bound. Perform the following procedure to bind the server certificate. 

1. Start IIS manager.
2. Select the ApeosWare Management Suite website.
3. Select https for Binding.
4. Select the self-signed certificate of ApeosWare Management Suite or the server certificate that you have created.
5. Restart the ApeosWare Management Suite website.

6-12-32. Notes on Using ou/op Option in Backup or Restore

If you back up or restore using the ou/op option in an environment where User Account Control (UAC) is enabled, even if the account specified by the ou/op option belongs to the Administrators group, the error, "Failed to stop the service" may occur.
In this case, either disable UAC, or do not use the ou/op option, and perform backup or restore by specifying the folder that can be accessed by users who are logged in to Windows.

When operating ApeosWare Management Suite in a domain environment, refer to the forward and reverse lookup zones of the DNS server, and check that the host name and IP address record information of ApeosWare Management Suite server is correct.

When restoring and using backup data in an environment that uses Fuji Xerox Direct Federation features, if the expiration date of the data at the time of backup has passed, communication errors may occur between ApeosWare Management Suite and Fuji Xerox Direct, and user information may not be updated correctly.

6-12-39. Notes on Backup / Restoration When OS Architecture is Changed

The installation folder and the data folder of the backup source and the restoration destination must be the same, including the drive name. Therefore, Backup / Restore cannot be used when the folder name of the system folder is changed, as in Windows OS 32 bit to 64 bit change.

Regardless of All-in-one configuration or Distributed configuration, when using ApeosWare Management Suite, all services on all servers must be working properly.
You can check the status of the service on the [Device/Job Status] > [Server Status] > [Service Status] screen.
Please make sure all services are working properly, before using ApeosWare Management Suite.

6-12-41. Notes on Setting of Mail Notification for Monitoring Service

In a configuration that separates the print application server or the print input/output server, if you set [Service Setting]> [Server Monitoring Settings] > [Notification Settings] screen as follows, the message "Cannot connect to remote server" is displayed and the setting may fail.
- Select [On] or [Off] for [E-mail Notification]
- Add E-mail address for the notification destination
In this case, please make sure that the ApeosWare Management Suite Core Service of the print application server or the print input/output server is working correctly, then execute the setting again.

6-12-42. Notes and Restrictions on Operations When Some Licenses Become Invalid

Regarding Scan OCR Option, OmniPage Barcode Reader Option, and On Demand Print Terminal License, if the number of valid licenses is less than the number of connected servers due to expiration of trial edition or activation period, etc., all servers licenses will be invalid and features will not be available.
Resolve the problem of invalid licenses by switching to proper licenses or activating licenses, etc., and make sure that the number of valid licenses exceeds the number of connected servers.
